They handles administrative tasks, independently manages administrative items, and ensures that deadlines are met.
Essential Duties and Responsibilities The essential functions include, but are not limited to the following:
Learn, understand and execute systems to manage material inventory, including purchasing, tracking, locating, intaking and shipping.
Follow up with vendors in an efficient and effect way.
Familiarize oneself with catalogs, ordering sheets, vendor systems, part names and manufacturers.
Develop and maintain a vendor, primary subcontractor, and secondary subcontractor catalog of contact information.
Oversee work order administration, including uploading work orders, uploading problem pictures, ordering materials, sending RFQ's to secondary subcontractors, etc.
Assist Warehouse Manager with checking goods received against purchase orders or invoices on an as needed basis.
Ensure materials are 100% accurate for store shipments and/or crews.
Develop and sustain relationships with vendors and secondary subcontractors; establish a solid rapport and consistent communication.
Secure all contractually required documents, including insurance policies, subcontracts and other documents as needed.
Assist Project Manager with vetting new contractors, creating relationships with contractors and scheduling out work orders.
Assist Project Manager with building out, updating and maintaining our project management systems.
Assist Project Manager with administration in regard to municipalities.
Accurately summarize important discussions, questions, and decisions raised during project meetings.
Follows up with email summaries and/or reports.
Works in conjunction with the rest of our team/divisions (as needed) to make sure deadlines are met.
Other duties as assigned by Project Manager and/or management team.
Conducts all business in a professional and ethical manner to serve the Customer and increase the goodwill and profit of the company.
Required Qualifications Bachelor's degree in business administration, supply management or related field and three years of administrative experience; or the equivalent combination of education and experience preferred.
Three or more years' experience in procurement, purchasing, construction or supply management and/or facilities maintenance preferred.
Three or more years commercial construction experience preferred but not required.
Knowledge of project management is preferred.
Knowledge of construction materials and vocabulary is preferred but not required.
Proficient use of the computer and tech, specifically MS Office, data entry, and office equipment (e.
g.
, cell phone, 10-key or calculator, computer, printer/copier/scanner) Can understand, develop, utilize and implement systems in a highly effective manner.
Excels in customer service and problem resolution.
Excellent written and oral communication skills Excellent mathematical, organizational, planning, and prioritization skills Excellent interpersonal skills Functional Duties:
